How your data is handled

Short on purpose.

What we keep

From your ALA login: your name, email and member ID. What you enter here: the states you track, license numbers and renewal dates if you add them, the courses you log, certificates you upload, courses you plan, your display name and privacy choices, groups you join, and AXP or ARE progress if you use the licensure page. What the system records: when you logged in, what changed on your record and who changed it, and which emails the tracker sent you.

Who can see it

Only you, and ALA staff who support the tracker. Nothing about you appears to other members unless you turn it on yourself in Profile & privacy: the leaderboard shows a display name and hour totals, and a shared profile shows the courses you took. Joining a group shows your totals to that group only. Your email, license numbers and certificates are never shown to other members.

Your certificates

Stored privately. They can only be opened through a link that works for five minutes and only after we confirm it's you (or ALA staff).

What we don't do

We do not sell your data, run ads, or report to state boards on your behalf. The email and hosting services that run the tracker process your data only for that purpose. You stay responsible for confirming your state's requirements with its licensing board; the rules shown here are ALA's summary.

Deleting and exporting

You can download your courses, hours and states from Transcript. Courses you delete are kept recoverable for a time in case of mistakes. To have your record removed from the tracker (backups clear within 35 days), email ALA@licensedarchitect.org.

Every change is logged

So a mistake can be traced and undone, the system records who changed what and when. Staff actions on your record are logged the same way.
